How it works
WaitlistPing gives your fully booked Calendly events a waitlist. When a client cancels or reschedules, the people waiting get an email with a link to that exact time, and the first to book gets it.
1. Connect Calendly
Select Connect Calendly and log in on Calendly's own page. We create a waitlist page for each of your event types and start watching for cancellations. It takes about 2 minutes.
2. Share your waitlist link
Put the link in your Calendly event description, your confirmation page, your website or your "I'm fully booked" replies. Your dashboard has copy buttons, a badge and a QR code. Clients join with a name and email, and can pick the days and times that suit them.
3. Cancellations get refilled
When a booked time frees up, we check that Calendly shows it as bookable again, then email everyone whose preferences match. Each email links straight to that time on your normal Calendly page.
What happens when a slot opens
- The first person to finish booking on Calendly gets the slot. Anyone who clicks later sees a "sorry, it's gone" page and stays on the waitlist.
- Openings less than 60 minutes away are skipped, so nobody gets an offer they can't realistically take.
- Reschedules count too: the old time is offered to your waitlist.
- People who book are taken off the list automatically, and every email has a one-click link to leave it.
- Your dashboard shows how many people are waiting, the openings we found and the slots refilled.
What you need
- A paid Calendly plan (Standard or higher), because WaitlistPing hears about cancellations through Calendly webhooks. Calendly's free trial of a paid plan works too.
- $15 a month after a 14-day free trial. No card is needed to start, and you can cancel anytime.
Nothing about your booking page changes. Clients book on Calendly with your usual questions, rules and payments.
Common questions
Is this built into Calendly?
No. Calendly has no waitlist feature. WaitlistPing works alongside it: you connect your Calendly account, we watch for cancellations, and you share your waitlist link with clients.
How do clients find my waitlist?
You add your waitlist link to your Calendly event description, your confirmation page, your website or your replies to clients. The dashboard has copy-paste buttons, a badge and a QR code.
Do I need a paid Calendly plan?
Yes. WaitlistPing listens for cancellations through Calendly webhooks, which Calendly only offers on paid plans (Standard or higher). Calendly's own free trial of a paid plan also works.
Does WaitlistPing book appointments for people?
No. We email the people on your waitlist a link to the freed time, and they book it on your normal Calendly page. Your booking rules, questions and payments stay exactly as they are.
What if two people click at once?
The first person to finish booking on Calendly gets the slot. Anyone who clicks after it's taken sees a "sorry, it's gone" page and stays on the waitlist for the next opening.
What about last-minute cancellations?
By default we skip openings that start in less than 60 minutes, so nobody gets an offer they can't realistically take.
Can people choose which days or times suit them?
Yes. When joining, people can pick the weekdays and hours that work for them, and we only email them about matching openings.
Do reschedules count?
Yes. When a client moves their booking, the old time is freed and offered to your waitlist.
How do people leave the waitlist?
Every email has a one-click link to leave the list. People who book are taken off automatically.
Is my Calendly account safe?
You log in on Calendly's own page, so we never see your Calendly password. The access Calendly gives us is stored encrypted, and we can't change your event types or availability. See security and your data.
What does it cost?
$15 a month for one Calendly account, after a 14-day free trial. No card is needed for the trial, and there's no contract.
How do I cancel?
Open Billing in your dashboard and choose "Manage billing and invoices". That opens Stripe's secure billing page, where you can cancel in a couple of clicks. You keep access until the end of the month you've paid for, and you won't be charged again.
Do you give refunds?
We don't refund part months. If you were charged by mistake, email support@waitlistping.com within 30 days and we'll refund that charge in full. See our refund and cancellation policy.
Can I disconnect?
Yes. You can revoke WaitlistPing's access in your Calendly settings at any time, and email support@waitlistping.com to have your data deleted.
